Summary:
Currently, a large number of enterprises use SAP R/3 as a platform for integration of business processes. But these highly integrated solutions generate huge quantity of transactional data, documents, and reports. With passage of time, the new and updated data is entered into the system while the old data still resides in the SAP enterprise system. Since some of the old data is critical, it cannot be deleted. The difficulty is keeping the data you want, and deleting the data you do not want. Hence, a SAP database keeps on expanding rapidly and enterprise systems, which have limited data retention abilities for a few years, suffer from problems such as data overflow, longer transaction processing times, and performance degradation. If this critical data is not managed properly then it can offset the business advantage of using leading software solutions like SAP.

ILM Components:
ILM from SAP is made up of three pillars: data archiving/data management, retention management, and retention warehouse.

Data archiving involves traditional functions and tool sets used to remove data from closed business processes from the database and storing it on inexpensive long-term storage. The focus of data archiving is data volume management.

Retention management deals with the end-of-life of data, and involves newly developed functions focusing on retention policy management, ILM-aware storage, destruction, as well as legal case management, the umbrella term for legal hold management and automated support.

Retention warehouse represents a standardized process for system decommissioning and involves enhanced archiving and snapshot programs for emptying out the system to be shut down. It also offers BI integration and predefined tax content, so that customers can continue to use the data from the decommissioned system for reporting purposes, even though the original system has been shut down.

Importance of Archiving:

  • Business Advantage: Archiving provides employees and customers a easy access to reports and other documents, reduces storage and access cost and improves efficiency, easy sharing of information, effectively retain customer documents, and also store with anytime easy access of mission critical documents and reports.

  • System Advantage: It’s very important for optimal system performance that regular transactional data is archived and deleted from production database. As the production database increase with daily transactional data system gradually slows down affecting the system performance and networking drastically.

  • Legal Compliance Advantage: Archiving provides a faster access to documents and information required under compliance by Legal Authorities. Thus data, documents and other information is stored properly keeping in mind the retention policy of each document, does not use the storage space in production database and yet is easily accessible at any point of time.
